Job Objective
Performs complex (journey-level) administrative support work. Under the supervision of the Site Manager, the Event & Program Coordinator Lead is responsible for planning, coordinating, promoting, and implementing all special event rentals, group sales, and onsite interpretive/educational programming at the French Legation State Historic Site. This is a front-line customer facing position representing the Texas Historical Commission at site functions both private and public. This position integrates event operations, public programming, customer service, and administrative support to maximize revenue, strengthen community partnerships, and enhance visitor experience. Work involves coordinating logistics, leading onsite hosting duties, developing interpretive programs, and supporting staff and volunteers. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.
Essential Duties
- Promote, book, and coordinate logistics for private rentals, group tours, corporate events, and community activities.
- Maintain a schedule for all current events and track and respond to requests for proposed events. Research and recommend new opportunities for events to maximize exposure to target audiences and achieve site goals and objectives effectively.
- Assist in providing logistical and operational support for site-hosted events, both public and private, particularly for the site's community partners' activities.
- Contribute to social media promotion for the site, particularly as it relates to group tours and private event bookings.
- May assist with light cleaning of floors, dust exhibits and store shelves, cleans door glass, empties trash, replenishes/clean restroom.
- Coordinate all set-up and take-down activities planned in support of private events hosted at the museum facility or on the grounds.
- Support the maintenance of partnerships with community organizations to produce and facilitate collaborative programs and outreach strategies.
- In coordination with the site manager, improve and modify existing programs, events, and exhibits as required; implement programs onsite and online.
- Assist in site marketing efforts by creating advertisements, print materials, and website/social media posts to promote programs and special events.
- Serve as onsite host during private events and ensure compliance with site-use policies and safety procedures.
- Maintain an active event calendar and track event usage and revenue.
- Coordinate catering, vendor relations, setup/takedown, and event logistics.
- Plan, develop, and implement interpretive, educational, and outreach programs.
- Conduct tours, greet visitors, provide orientations.
- Support community partnerships for co-produced programs.
- Provide excellent customer service and assist with store sales and admissions.
- Oversee procurement processes and maintain administrative records.
- Train and coordinate volunteers and interns.

Minimum Qualifications
- Associates degree or higher from an accredited four-year college or university
- Minimum two years' work experience in at least one of the following areas: (1) cultural resource interpretation at a historic site, museum, or similar facility; (2) researching, developing, and implementing public interpretive programs or events; and/or (3) work experience in planning, coordinating, overseeing, and managing group sales, conferences and/or special events
- Minimum one year of customer service experience
- The ability to maintain the security or integrity of the critical infrastructure
- Valid driver's license, acceptable driving record and ability to drive a state vehicle
- Required to travel up to 5% of the work period
Preferred Qualifications
- Graduation from an accredited four-year college or university
- Experience with state procurement and contract management
- Experience recruiting, training, and managing volunteers for community and education programs
- Willingness to learn or gain experience in the museum or historic site field
- Experience with POS systems

Registration, Certification, or Licensure
Must have or obtain a valid Driver's License and Defensive Driving Course to be able to operate state vehicles.
Environment/Physical Conditions
The workplace setting is a historic site, in an office and in outdoor settings where there is exposure to high temperatures, weather, dust, insects and pollution. This employee typically works irregular hours other than 8:00 a.m. to 5:00 p.m. with days off other than Saturdays, Sundays or holidays. Required to respond to emergency situations. This position may involve walking; standing; pulling and pushing; kneeling, stooping, and bending; performing tasks requiring fine motor skills and coordination; and safely lifting and carrying items weighing up to 30 pounds and climbing steep flights of stairs on a regular basis. Must be able to work extended periods at a computer. Occasional travel with an overnight stay.
